The Student Evaluation of Tutor (SETutor) evaluation supplements the SECaT evaluation and provides students the opportunity to give feedback on their experience of tutoring.

The SETutor evaluation is designed to be used in courses where students’ learning is supplemented by small group learning, usually led by an individual who is called a tutor or lab demonstrator. All SETutor evaluations are conducted online (via QR codes or passwords) or through direct emails to students.

    The SETutor evaluation consists of 8 quantitative and 2 qualitative items regarding the quality of tutoring, as follows:

    For Semester 1, 2020, due to the disruption to teaching from the COVID-19 crisis, an alternative Covid-19 Tutoring survey instrument is also available for selection. It consists of 8 quantitative and 2 qualitative items regarding the quality of tutoring, as follows:

    3. …was able to adapt tutorials in response to course changes caused by the crisis.

    Schools will need to specify which instrument they would like to use with their orders.

    How do I get a SETutor?

    SETutor surveys are requested by schools for their tutors and may be administered via QR codes, single links, or as direct emails to students. Each school will decide which system the school prefers to use for their tutors.   

    SETutor surveys may be administered for tutorial groups with more than 5 students enrolled. If a tutorial group has fewer than 5 students, you may like to consider using the paper-based Open Response Questionnaire.

    What type of orders can be placed by the school on my behalf?

    I teach a single tutorial in a single course:

    The school can order one (1) tutorial evaluation.

    I teach multiple tutorials, labs, seminars, practicals for a single course:

    The school can only order one (1) SETutor for you. The school will need to ensure that the 'Number of students' ordered is sufficent accross all tutorial groups. For example, if you teach two (2) tutorial groups each with ten (10) students, then the total number of students should be 20. This option ensures that if your students are enrolled in both your tutorial and practical, then they will only complete one SETutor survey for you. Your SETutor report will then be compiled as a single course-based report.

    I teach multiple tutorials, labs, seminars, or practicals, etc. for multiple courses in a school:

    The school can order one (1) SETutor evaluation per course for you. For example, if you lead a tutorial and a lab for course ABCD1234, you will recieve one SETutor survey for that course. If you also lead a clinic and seminar for course EFGH5678, you will receive an additional SETutor survey for that course. The Evaluation Unit will aggregate all orders received from schools up to the course/tutor level so that no students are required to complete more than one (1) survey per tutor per course.

    School bulk orders

    Schools will place orders on their tutors' behalf no later than Teaching Week 7.

    What will I receive?

    If your school has chosen to conduct SETutor surveys by QR codes, a week before the surveys open you will receive an email for each survey ordered for you by your school. The email/s will contain QR codes. You will need to print the codes and distribute them to your students in the relevant tutorial/class. You can choose to cut the codes or simply pass the printed sheet around for students to scan, then cross out.

    Each QR code is a unique password to a SETutor evaluation and cannot be used more than once. In order to complete an online SETutor evaluation, students can either scan the QR code using a smartphone or tablet, or go to the website indicated on the QR code and enter the password listed.

    If your school has ordered direct email SETutor surveys, students will receive an email invitation. You will only need to allow students time in class to complete their surveys. Students will also be able to access their surveys via the 'Have your say' block within Blackboard.

    For single link surveys, schools will advise tutors how those links will be distributed.

    When and how do I get my SETutor results?

    SETutor results are released every semester after the finalisation of results. SETutor reports will be emailed to tutors in electronic format (.pdf). Please ensure that you provide a valid email address to your school.

    If fewer than 5 responses are received, a quantitative report will not be generated, but you will still receive any qualitative feedback provided by students.

    Who gets the report?

    • Individual tutors - SETutor reports are sent to individual tutors via email
    • Course coordinator(s) - SETutor reports can be made available to the course coordinator(s) on request
    • Head of School - SETutor summary reports will be sent to all Heads of School. Raw data will be sent on request.
    • Chair of Teaching and Learning Committee - SETutor reports can be made available to the Chair of Teaching and Learning Committee on request (with approval from the Head of School).

    Inclusion of tutor photos

    SETutor surveys may include photos of tutors within the survey instrument. Tutors may opt out of including a photo, or may substitute their photo with another photo.

    The photo system will be enabled for you when SETutor surveys have been created. 

    If the correct information has been provided to the Evaluation Unit, tutors will have active accounts at (UQ login required) so that photos can be removed or changed.

    To remove photo

    1. Log in using your UQ login at:
    2. Click Manage Photos which appears in the left-hand navigation menu
    3. Scroll to the bottom of the screen and click Clear Active. All photos in your list will have 'No' listed under Active. No photo of you will be included in your surveys.

    To change photo

    1. Log in using your UQ login at:
    2. Click Manage Photos which appears in the left-hand navigation menu
    3. Scroll to the bottom of the screen and click Upload. A pop-up window appears.
    4. Drag a photo file from your computer into the 'Drop files here to upload' area then click Upload. Photo files should be less than 100KB in size. Large photos will take longer to upload and may appear like they have not uploaded when they are processing.

    We recommend you use a desktop or laptop to action any photo removals or changes, as mobile devices can display the interface incorrectly. The photo system is dynamically linked to your surveys and will be included as soon as edits are made and photos are processed within the systems.

    SETutor student confidentiality - New from Semester 2, 2018

    Beginning from Semester 2, 2018 onwards, all SETutor surveys will be administered as confidential surveys in the same manner as the SECaT surveys. This means that student information linked to responses will be kept for reporting and legal purposes.

    This change in the administration process aims to minimise confusion between how the SECaT and SETutor surveys are administered, and aims to increase the analytical utility of the SETutor surveys.

    Students are required to comply with the policy 3.60.04 Student Integrity and Misconduct when providing feedback via the SETutor evaluation.

    In instances where students have provided feedback which is in breach of the Student Integrity and Misconduct policy, tutors may request that the breaching comment be removed from the SETutor results. Please see the comment approval process below.

    SETutor response comment removal

    When a response has been identified by UQ staff to have potentially breached the University's policy PPL 3.60.04 Student Integrity and Misconduct or Duty of Care responsibilities to students and staff as part of the Queensland Work Health and Safety Act 2011, staff may request the removal of comments from publication (accessible format within SETutor survey reports).

    To request a comment removal, tutors are required to follow the process outlined for the SECaT survey:

    1. Request approval from the Chair of the School's Teaching and Learning Committee (or equivalent) to remove a comment from the published dataset. Send this request to the Chair via email with the following information:
      • Details for the course, semester or teaching delivery period, and tutor's name.
      • Include an exact copy of the entire comment to be removed. We can only remove the entire comment and not parts of a comment.
      • List your reasoning for the removal request. For example, "The comment provided includes profanities and has no constructive intent to improve the quality of teaching and learning at UQ."
    2. Once the request is approved by the Chair (or equivalent) in written form, please email it to and we will action the request promptly.
    3. If a new report is required, we will re-issue a new SETutor report which excludes the un-published comment.

    Please note that the comment is not deleted. It will be archived for legal purposes.

    Approvals for comment removal may also be provided by the Program Convenors, Head of School or Faculty Executives as the delegated authority for a school or faculty's data (see PPL3.30.02 Course and Teacher Survey procedures, last updated May 2016).
