Apply for an HEA Fellowship
The HEA@UQ program provides aspiring fellows with the opportunity to not only gain credit for what they have already achieved, but also to plan and work towards future development, with the support of UQ’s HEA Fellowship community and ITaLI staff.
If you are interested in participating in the program, please attend an information session.
Successful participants in the HEA@UQ program are entitled to use the post-nominals AFHEA, FHEA or SFHEA (depending on the level of application). Applicants are supported to develop a written application reflecting on, and evidencing their teaching and/or learning support experience that includes:
- a philosophy of teaching
- account of professional practice, and
- statements of support (or teaching reference).
Eligibility
The HEA@UQ program is open to all staff within the University who have roles which relate to teaching and/or supporting learning. Staff roles encouraged to apply for Associate Fellowship, Fellowship or Senior Fellowship via the HEA@UQ program include:
- academic staff
- professional staff who support teaching and learning
- casual staff
- PhD students with teaching experience
- UQ academic title holders, adjunct and honorary staff.
Applicants wishing to participate in the HEA Fellowship must fulfil the following eligibility:
- Hold an academic or professional appointment at UQ (including casual academics and tutors); or are a PhD candidate; or are a UQ academic title holder.
- Will hold this appointment at the time the Fellowship is awarded.
- Have the support of their Head of School and Executive Dean or equivalent (e.g. Head of Division) to commit the time required to complete an application.
- Note for PhD candidates: your support should come from your Supervisor. Your Supervisor must indicate that your participation in the program can be accommodated without affecting your progress on your thesis.
- Commit to the HEA Code of Practice if their application for Fellowship is successful
- Be prepared to help foster a HEA Fellowship community at UQ (assuming successful application), by agreeing to:
- mentor other staff through the application process
- present at school, faculty and/or other UQ fora, such as Teaching and Learning Week
- be prepared to contribute to the development and delivery of HEA Fellowship support activities in the future
- contribute to building an ongoing HEA Fellowship community.
Timeframe to develop an application
Applicants accepted in the HEA@UQ program will have 12 months after being accepted into the program to submit a full application. At the conclusion of the twelve-month period, a further expression of interest will be required to continue participation in the program.
A range of support activities are scheduled throughout the year. These are intended to help you to put your application together. The sessions are advertised through the HEA Community @ UQ Teams Channel.
In addition to these scheduled sessions, you will be required to invest further time to develop your application. As an applicant, you can expect to devote, as a minimum, about the same amount of time to preparing an application as it takes you to draft a journal article or an application for promotion.
The time commitment will depend on the level of the Fellowship and the material the applicant already has, which may be re-purposed as part of the HEA Fellowship application.
How do I enrol?
To enrol in the HEA@UQ Program, you must attend an information session before submitting an expression of interest. After we have a record of your attendance at a session, you will be invited to submit an expression of interest (EOI).
Once your EOI is received by the Program Team, it will be reviewed for the purpose of providing you with feedback on your chosen category, based on the detail you provide, and on what you might need to consider when putting your full application together.
Typically, you will receive a formal letter enrolling you into the HEA@UQ Program along with this feedback within 10 working days. Please note that this timeframe is dependent on the volume of EOIs submitted and you will experience some delay during these peak periods.
Endorsement of EOI
If after attending the information session, you are keen to progress and submit an EOI, your EOI must be endorsed and supported by your Head of School or Discipline, Executive Dean or equivalent (e.g. Head of Division). If you are a PhD Candidate, please seek the endorsement of your PhD Supervisor when completing this section of the EOI.
You will be provided with the appropriate form when you have been invited to submit an EOI. This attachment must be uploaded with your online EOI. Your EOI cannot be processed without it.
Fellowship application support
We recognise that everyone has different needs, working arrangements and preferences for support. Our support program combines centralised and local professional learning activities that are scaffolded, to build your capabilities incrementally. The activities on offer include both formal and informal professional learning opportunities, delivered in flexible modes that allow for self-directed learning.
Enrolled participants will be provided with direct access to each of the following activities:
Information session and introductory workshop
This information session and workshop provides you with an overview of the Professional Standards Framework (PSF2023), the program of support available to you, and the application processes. It focuses on helping you to identify the fellowship descriptor that best reflects your teaching practice and the most appropriate application route.
In this workshop, you will be invited to reflect on your practice using self-assessment tools which ask you to specifically demonstrate what practice you have conducted and how they implemented it. After this workshop, aspiring fellows are invited to submit an EOI.
Becoming an HEA Fellow edge course
This course was developed in consultation with Fellows from within the community, drawing on resources from our prior workshop series, to afford all participants access to materials designed to support them to write and complete their applications at their own pace, and in their own time.
The course covers six modules:
- Becoming an HEA Fellow
- The Professional Standards Framework (Compulsory)
- Writing your Application
- Branched modules covering the application components and expectations for Associate/Fellow/Senior Fellowship
- Finalising and submitting your application
- Conclusion and next steps.
HEA application intensive workshop
Virtual and face-to-face application intensive workshops are scheduled throughout the calendar year. These sessions provide applicants with the opportunity to:
- workshop writing your Teaching Context and Teaching Philosophy, and how to respond to the areas of activity
- share your ‘work-in-progress’ and obtain feedback from peers in a collaborative environment
- have dedicated writing time; and
- discuss your application with an experienced Fellow.

Consultation sessions
Regularly timetabled consultation sessions are available for you to ask those burning questions that might be related to the PSF, how to submit your application, or whether this program or category of fellowship is right for you. These sessions are held via Zoom and are bookable online.
The consultations are 15 minutes in length. Unfortunately, the team cannot accommodate extensive draft reviews. We suggest that you reach out to a buddy or to your mentor—if this is something you have previously discussed as a need—for extensive draft reviews.
Online resources
An online repository has been established in Microsoft Teams providing:
- timetables and calendars
- materials from support workshops
- recordings of webinars
- examples of applications
- templates and guidelines
- channels for collaboration, supporting commentary and advice from previous applicants.
When your EOI has been accepted, you will be provided with access to this repository.
Please note, exemplar statements of support are not available. If your advocate has a question regarding the content of their statement, please ask them to get in touch with the program team by emailing professional.learning@uq.edu.au
Administrative support
The ITaLI team will support you by:
- facilitating critical friend and mentoring support as needed
- answering questions and providing guidance on possible pathways
- coordinating writing sessions
- adminstering review panels.
Becoming an HEA Principal Fellow with ITaLI support
Principal Fellows are typically:
- highly experienced and/or senior staff with wide-ranging academic or academic-related strategic leadership responsibilities in connection with key aspects of teaching and supporting learning
- staff responsible for institutional strategic leadership and policymaking in the area of teaching and learning
- staff who have strategic impact and influence in relation to teaching and learning that extends beyond their own institution.
Applicants for Principal Fellowship will be identified in consultation with Associate Deans (Academic), though aspiring Principal Fellows may also self-identify by emailing the Program Team.
Applicants will participate in an interview with a Principal Fellow to determine how they enable others to engage with the Professional Standards Framework. Following this interview, a recommendation will be forwarded to the Deputy Vice-Chancellor (Academic) and the Pro-Vice-Chancellor (Teaching & Learning) who will select up to three (3) candidates each year.
PFHEA application process
Step 1 | Read the PF Criteria Guidelines (PDF, 122.9 KB). Use the PF self-assessment document (DOCX, 85.2 KB) to make some notes. Provide at least two examples of instances where you are able to evidence and demonstrate successful engagement with each of the items. If you are able to provide two examples for each aspect, there is a good chance that you will be successful in your application. |
Step 2 | Complete the Initial Discussion Proforma (DOCX, 49.3 KB). Provide an overview in the Career Overview section, focusing on the leadership aspects in teaching and learning. List some of the key initiatives or impacts that you have had across your career in the Record of Educational Impact table. Copy and paste the relevant items noted in the self-assessment document into the Evidencing Professional Practice grid. Book an hour appointment with Deanne Gannaway to discuss your application and get some guidance as to how to draft your application. |
Step 3 | Principal Fellowship applications are submitted directly to Advance HE and assessed by international assessors; a service that incurs a fee. Should you wish to apply for one of the three annual grants from the DVCA Office to support your application, seek and submit endorsement from your Faculty ADA or the PVC(T&L) to professional.learning@uq.edu.au along with a short CV (DOCX, 84.7 KB). This will be submitted to the Deputy Vice-Chancellor (Academic) on your behalf, and you will be notified if the grant to support your application fee has been approved. |
Step 4 | Develop your full application with mentoring support from Deanne. This support will take the form of four meetings across 12 months from the initial discussion meeting. |
Step 5 | Join in conversations with other UQ aspiring and recognised Principal Fellows. |
